Tech & Media Production Coord

GENERAL PURPOSE:
This position provides administrative support for the Tech & Media Production [T & MP] department (including but not limited to: Media Production, AV, Computing, Web, Video Recording, and Educational Technology).
This position coordinates technical needs for events scheduled by the concert office. Serves as the first point of contact for Media Production and AV inquiries and visitors, providing high-level customer service and a welcoming, supportive environment.
Under the supervision of the Director of Tech & Media Production, with latitude for independent judgment and initiative, performs the following duties:
SPECIFIC RESPONSIBILITIES:
Media Production Services coordination
Coordinates technical details to support the Media Production schedule.
Confirms scheduling services after events are scheduled by the Concert office.
Confirms all details for the Multimedia Engineers, for recording, sound reinforcement, filming, and distance learning needs.
Liaises with faculty, students and staff to ensure technical details related to events are gathered and entered into the department Master Calendar and relayed to the Engineering team.
Follows up proactively with engineers and departmental faculty, staff and students to ensure technical details are agreed and understood prior to event, and monitors the Event Management System, websites and other information sources for changing information.
AV Services Coordination
Coordinates the AV schedule, scheduling services in collaboration with the AV Team, for classroom and studio support, equipment testing and repair, AV event management, and faculty, staff and student training.
Enters information into the calendar and scheduling systems. Coordinates with the AV Technician’s for work priorities, and ensures that loaner equipment is properly checked out and returned.
Customer Service
Meets with department visitors and customers, anticipates and assesses their requirements, and advises faculty, staff and students on how Media Production and AV can best serve their needs.
Provides a welcoming environment and works to alleviate concerns regarding technical services and event support and processes forms, invoices and receipts.
Ensures orders and requests are fulfilled according to department timelines using pre-established guidelines and protocols.
Finance/Administration
Prepares and creates Media Production invoices, requisitions, purchase orders, requests for payment, and receipts, and assists other areas of the department with their documentation.
Assists the Director with reconciling ledgers, budgets, and coordinates PCard purchases.
Organizes electronic and paper filing and storage systems.
Orders office and media supplies, and prepares correspondence.
Accepts recording fees from students & prepares deposit documents.
Edited Media Distribution and DVD/CD Processing
Manages the distribution of completed edited performance recordings by providing for approved faculty, students or outside requestors a web link or a produced DVD or CD, monitoring production workflow and quality control of products.
Tracks the engineers’ timely delivery of completed work, assigning additional labeling and copying work to TAR engineers, and ensuring customer orders are fulfilled promptly and accurately. Responsible for liaising with Sibley Library and ensuring the archival and cataloging needs are met.

REQUIREMENTS:
Two years’ post-high school education/Associates Degree in Business-related discipline required.
One year’s full-time experience in a professional office setting; or combination of education and experience required.
Experience in a technology performance environment
Excellent written and oral communication skills, customer service abilities, and critical thinking/problem solving skills required.
Highly organized required
Ability to multi-task in a fast-paced work environment with a wide variety of customers required
Must project a professional, kind, respectful, welcoming & positive attitude in accordance with the University’s MELIORA values required
Intermediate ability with Microsoft office (Excel, Outlook, Word, PowerPoint, etc.) required.
Experience with financial transactions & accounting, accounts payable/ receivable required.
Experience working in information technology, music and media production, and educational technologies preferred.
Formal music training and experience working in higher education setting preferred
