Reporting to the Associate Director, URMC Communications, the Senior Manager, URMC Organizational Change Communications serves as a strategist, high-level subject matter expert and senior content producer who ensures creation and implementation of communications programs to support the successful adoption of technology, systems and services by URMC and UR Medicine affiliate faculty and staff, as well as non-employed individuals utilizing URMC network-based services.

The Senior Manager develops and implements communications project plans to support discrete URMC programs, projects and initiatives, ensuring all impacted business, financial, operational and other stakeholders are prepared for and embrace change and reach their full potential. Focusing on the people side of change, including the change initiative itself, as well as changes to business processes, systems and technology, job roles, and organization structures, the Senior Manager will design, develop and execute strategies and communication plans that minimize resistance and maximize engagement amongst impacted areas/individuals. With limited supervision from the Associate Director, the Senior Manager will work with and coach stakeholders, leaders and teams to develops strategies to maximize buy-in and minimize resistance, ensuring people at all levels involved are engaged, prepared to transition to the initiative and reinforce sustainable change. Knowledge and experience in change management strategy, and applying a change management framework (e.g. ADKAR) to communications planning, is essential.

The Senior Manager coaches and supervises individual members of the Communications team who are responsible for organizational change communications and works closely with the Associate Director, as well as other institutional change leaders, to develop effective strategies, plans and outputs to meet measurable goals. JOB DUTIES AND RESPONSIBILITIES:

Communications Strategy and Service-line Support

  • Serves as a subject-matter expert for assigned service lines and programs. Maintains close working relationships with program leaders and key stakeholders to actively support development and implementation of communication plans that guide the initiative/project.

  • Works closely with the Associate Director, IT & Clinical Operations in developing and implementing communications plans to support URMC’s strategic objectives, IT and Security programs; develops and leads execution of programs that support the annual plan with measurable outcomes.

  • Generally serves as a senior writer and content creator, drawing support from other members of the Communications team and creative group as needed. Receives work requests directly from assigned service lines or programs.

  • Consistently analyzes metrics to strengthen the quality and impact of work.

    Change Management Communications Strategy

  • Develops and executes communications plans that align with the ADKAR Change Management communications framework to help drive successful user adoption of technology systems and/or other operational changes through URMC and UR Medicine, including regional affiliates.

  • Alerts allied work groups and represents their interests to operational leaders to mitigate potential issues, ensuring coordinated and successful implementation and adoption of new processes or other organizational changes.

    Content Creation

  • Manages and executes an individual portfolio of moderately complex communications projects, including developing and writing a variety of content aimed at internal and external audiences such as leadership presentations (slides and scripts), strategy documents, news and feature stories, newsletter articles, website copy, news releases, video scripts, email memos, and social media posts.

  • Develops and executes promotional and/or integrated marketing programs. Produces pamphlets, brochures, bulletins, fliers and other materials that support the transition project with little or no review by Associate Director.

    Communications Planning

  • Serves as a communications “consultant” and content leader for projects as needed. Consultative elements include, but are not limited to: drafting original communication plans, identifying target audiences and matching to appropriate channels, and outlining and/or implementing strategies and tactics for complex projects.

  • When budgets are assigned for communication activities, ensures they are met.

    Administration and Management

  • Works with team members and supervisor to understand daily, weekly and monthly priorities, and directs work to align with these priorities.

  • Promotes and demonstrates the sharing of knowledge, provides cross-training, peer support and leads team meetings.

    Publicity Support

  • As needed, assists the Associate Director, IT Communications and/or AVP for Communications in drafting materials to manage communications response to issues that could negatively impact URMC’s reputation or reduce support from external or internal audiences.

  • Provides incident command center support for emergencies and drills.

    Other duties as assigned


  • Bachelor’s degree in Communications, Journalism or related field required

  • 7 years of experience required,

  • or equivalent combination of education and experience required.

  • 10 years of experience preferred;

  • Health care experience, especially in an academic medical center setting preferred;

  • 3 years of supervisory or management experience preferred.

  • Must understand and ensure compliance with HIPAA requirements and URMC policies for protecting patient privacy and other confidential information required

  • Demonstrated proficiency in writing and editing content based on target audience required;

  • Strong written, oral, and interpersonal communications skills; comfortable talking to all levels of faculty/staff, and in front of groups required

  • Experience in creating and implementing strategic communications plans with proven results preferred.

  • Proven knowledge of Change Management theories, particularly the ADKAR communications framework preferred.

  • Ability to analyze, condense, and synthesize information and ability to provide accurate analysis and summaries as needed in a fast-paced, high-demand environment preferred

  • Knowledge of and/or experience in contributing to social media platforms preferred

  • Strong organization and project management skills preferred

  • Extraordinary ability to deal with multiple, competing priorities with minimal supervision preferred

  • Ability to work independently and within a collaborative team preferred

  • Experience with HTML programming, content management systems, data analysis, metrics presentations, photo and video capture/editing, PowerPoint presentations and/or graphic design preferred.

  • Ability to manage administrative projects, make sound decisions, and support design and implementation of new programs preferred.

  • Creativity in matching ideas with effective, engaging, and achievable storytelling approaches.

  • Position is available for on-call, as needed, for responding to overnight and/or weekend requests required.

  • PROSCI certification preferred
