Space Planner

Responsibilities

General Purpose:

The Space Planner is responsible for managing and coordinating day-to-day interactions with the Assistant Director and Senior Space Planners to solve space and move requests, ensure accuracy of space allocations, and support Space Planning activities.

Specific Responsibilities:

Under general direction within policy guidelines and protocols:

  • Assists the Assistant Director and Senior Space Planners with capturing and coordinating detailed program requirements, space negotiations, and resolutions between customer/project groups. (15%)

  • Assists Assistant Director and Senior Space Planners with developing and coordinating space programs, test fits, preliminary room and furniture layouts, block diagrams, seat planning, and scenario planning for space allocations. (15%)

  • Conducts periodic walk-throughs to ensure information pertaining to validated department locations, individuals and configuration of spaces are accurate and update in URSpace system; manages, maintains, analyzes data to ensure any room changes are documented and submitted for update in UR Space. (10%)

  • Identifies space modifications, monitors day-to-day space utilization, and supports creation and analysis of job level eligibility of office/cube ratio. (10%)

  • Participates in pre- and post-move walk-throughs to ensure space requirements meet approved scope of work; Space Planner is responsible for communicating any changes in scope, timing, etc. to project customer(s) after consulting with Assistant Director and/or Senior Space Planners. (10%)

  • Manages, coordinates and tracks all new space requests/activities to support Assistant Director and Senior Space Planners; assists in identifying detailed customer space requirements and translates space needs into solutions. (15%)

  • Assist Project Managers in the coordination and planning of move logistics (Information Technology, Lock and Signage Shop, etc.) (5%)

  • Partners with Assistant Director and Senior Space Planners to provide customer communications inclusive of representation at customer, building decommissioning, move and project meetings. (5%)

  • Develops and manages standard checklists for space management, project management, and relocations. (5%)

  • Develops and manages content for Department of Space Planning website; manages and updates website as appropriate. (5%)

  • Assists Assistant Director and Senior Space Planners in developing presentations to support programming, moves, special meeting reports, etc. (5%)

  • Manages and creates reports from the Space Request Database (as needed).

Requirements:

Associates Degree with major course work in a social or technical field (preferably in Interior Design or Architecture) or similar discipline, and 5 years experience with architecture, facility planning, interior design or planning; or an equivalent combination of education and experience.

Knowledge, Skills and Abilities:

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Exceptional written and verbal communication skills, including accurate grammar and business correspondence knowledge.

  • Ability to successfully multitask and able to adjust tasks in accordance with changing deadlines and priorities.

  • Organized, independent and self-motivated, enthusiastic, dependable, detail-oriented, flexible in scheduling and prioritization.

  • Exceptional interpersonal skills to maintain positive internal and external relationship.

  • Proficient in PowerPoint, Excel, Word, Adobe, and CAD experience, a plus.
