As part of an administrative team, the Departmental Secretary IV is responsible for providing the highest quality day-to-day office management and secretarial skills to provide support to the Director and the Department's Clinical Staff. Preforms office services such as scheduling, inpatient/outpatient billing, co pay billing, insurance refe1Tal requests and appeals, input/tracking of vacation requests, Flowcast master/daily, payroll, Medicare compliance tracking, Wilmot Cancer Center/Radiation Oncology scheduling, Integrative Cognitive Rehabilitation Program scheduling, tracking Acute Care Rehab patients, order office supplies and other secretarial activities for a department/division, center or other organizational unit; interacts with clinical staff; exercises independent judgment in the resolution of secretarial problems.
Sec IV will provide a battery of formal and informal skills competencies to perform tasks and set a daily agenda for management of scheduling systems, file and record keeping, database management, with the aim of maximizing office efficiency.
Employs unit operating practices such as record keeping systems, forms and their updating and be actively involved with creating new systems or revising established procedures in conjunction with the Department's Administrative Assistant.
Must have extensive experience in office skills and techniques, thorough knowledge of hospital policies and procedures is computer literate for word processing, spreadsheet and relational database setup and maintenance, and establishing systems of phone triaging, out-patient appointment management, and effective communication with departmental staff. In addition to use of computerized scheduling and billing systems (Flowcast, eRecord etc.)
Sec IV must maintain ability to pass required mandatory in-service and staff competency training.
This position will operate a personal computer to access e-mail, electronic calendars and other basic office support software. The person in this position will use various software applications, such as Microsoft Word and Excel to manipulate and/or format data and/or reports. Programs needed: Flowcast scheduling and charge entry (HPA) and eRecord. As well as insurance access consisting of BC/BS, MVP, EPaces and Connex as necessary.
Also job duties include telephone coverage and scheduling for the Secretary III.
- Two years of post-high school education in secretarial studies or the equivalent
- At least 3 years of medical secretarial experience including at least 1 year in a position demonstrating the ability to work with minimum supervision
- One year of charge entry experience preferred
