Responsibilities

Position Summary:

Serves as principal assistant to the Senior Associate Vice President for Budgets and Planning (SRA VP) and related administrative services to the Budget office staff and Associate Treasurer. With minimum direction and considerable latitude for independent judgement, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency. Coordinates and manages highly confidential information. Interacts with the senior most leadership of the University including, the President, Senior Vice President & CFO and Provost's offices.

Responsibilities:

With general guidance as to priorities, manages the time and calendar of the SRA VP, choosing or recommending among competing demands on time, referring matters to be handled by others, controlling access to SRA VP. Collects, compiles, prepares and disseminates data for the budget book, tuition and fee schedule and other documents as required. Under general direction, schedules and coordinates all annual budget meetings by working with the President, Senior VP and CFO, Provost and Deans' offices.

Provides administrative assistance to SRA VP; the Senior Director of Budget Development & Management; the Manager of Budget & Development and Financial Analysts in the department and the Associate Treasurer. Works in conjunction with the Executive Assistant in the office of the Senior VP &CFO; on reports, Board material and provides office coverage.

Gathers necessary information for and drafts all the Publisher, Powerpoint and Excel documents for inclusion in Budget Book. Coordinates printing and publishing of these documents. (20%)

Assists in preparing Powerpoint presentations for the Board of Trustees and related Committees. Receives, logs and processes payment for property taxes.

Performs secretarial duties including copying, sorting and routing of mail, serving as departmental receptionist, maintaining files and office supplies, arranging travel and other accommodations, preparing and processing bill payments and expense reports.

Performs other related duties and provides support to other organizations.

Qualifications:

College graduate preferred. At least three years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation. Advanced secretarial skills. Advanced Excel, Word, Publisher and Powerpoint skills.
