With minimum direction and support and latitude for independent judgment, provides secretarial support to Microbiology Administration and staff. Responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the University. Performs routine and non-routine duties requiring advanced secretarial skills. Must be able to prioritize multiple activities as priorities are constantly changing. Computer skills with Microsoft Office applications required. Working individually and as part of a team, this busy environment requires good time management skills, good judgment and excellent interpersonal skills.


Receives minimum direction from a Dean, Director, Division or Department Head, or Office Manager.

  • Primary responsibilities may include:

  • Database management for department records Purchasing and payroll responsibilities

  • Clerical support for development of new initiatives (may require computer design skills)

  • Supports clerical needs of all supervisory staff in the Clinical Microbiology department (30%)

  • Provides administrative assistance to the Department Head, faculty members, undergraduate students, business officers and the like: furnishes factual reports and information about the business of the department, grant and budget accounts, symposia, colloquia and courses; may screen employment applications for completeness and orient new hires to the department; compiles technical and other information for publications, reports or correspondence; assembles information for and assists in preparation of budget requests. Maintains strict confidentiality of departmental budget, account, personnel and payroll records and information. Produces periodic status reports. (20%)

  • Performs secretarial duties including: sorting and routing of mail, taking and transcription of notes, serving as department receptionist, maintaining files and office supplies, arranging travel and other accommodations. (20%)

  • Frequently composes, processes and signs non-routine correspondence providing factual information. Gathers necessary information for and drafts important and confidential correspondence. (20%)

  • May control department petty cash account (4%)

  • Occasionally serves as recording secretary at meeting; prepares and types minutes (3%)

  • Assists in arrangements for employee recognition, annual employee health updates, hospital sponsored fund raisers, symposia, colloquia and administrative meetings; prepares and distributes agenda, reserves meeting place, etc. (2%)



2 years of post high school education in secretarial studies or equivalent.


At least 3 years of secretarial and office experience, including one year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.


Advanced secretarial skills. Ability to take and transcribe notes. The ability to operate commonly used office machines, such as computers, office copiers, fax machines, calculators.

OR a combination of formal training and experience equivalent to the above.
