With minimal direction and with considerable latitude for independent judgment, performs complex secretarial and administrative duties requiring advanced secretarial skills. This position reports to the Administrator.
Perform daily cash reconciliation for copays collected by outpatient access specialists. Maintain custody of petty cash. 5%
Submit and monitor work orders for facility maintenance and janitorial services as needed for all office locations. 10%
Maintain inventory and complete ordering of office, kitchen, and stationery supplies for all office locations. Manage paperwork necessary for purchasing. 15%
Manage all time keeping activities for the department: gathering, reviewing and approving time sheets; reach out to staff for missing time and provide reminders to staff at the end of each pay period. 15%
Prepare and submit for payment quarterly mileage summary and expense reports for physicians. 5%
Provide departmental HR support: contact job candidates and coordinate interviews, onboard new staff members to department, and assist employees with HR questions. Maintain departmental personnel files. 10%
Provide support to departmental clerical staff, including cross coverage at front desk, in call center, and with medical records functions. 10%
Department liaison for the annual URMC/RCPG symposium. Work closely with the program co-directors and the URMC CEL conference coordinator. 5%
Maintain provider credentialing files, including CME credits. Update CAQH provider profiles. 10%
Complete routine audits of consent forms and routing of test results, maintain log of audits to ensure compliance. 5%
With general supervision from administrator or nurse manager, assist in designing and implementing departmental workflow following university policies and procedures, follow up and track work flow, and provide needed support for various projects. 5%
Provide administrative support to administrator, nurse manager, physicians, and staff as needed. This may include taking minutes at various meetings as directed. Perform other related duties as assigned. 5%
Education: 2 years of post high school education in secretarial studies or the equivalent.
Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.
OR a combination of formal training and experience equivalent to the above.
