Responsibilities
Position Summary:
This position will provide administrative support for the Associate Chair of Clinical Service, Medical Director of ECT, Medical Director of iMIPS and Medical Director of MIPS. With considerable latitude for independent judgment and problem solving, is responsible for intake process for EAP clients, general office and administrative services required of all EAP contracts held by Strong EAP, and serves as assistant to the Director of EAP and program administrators and staff.
Responsibilities:
General Administrative Support:
With minimal direction from administrator and faculty, provides administrative assistance to the Associate Chair of Clinical Service, Medical Director of ECT, Medical Director of iMIPS and Medical Director of MIPS. Furnishes factual reports and information about the business of the department, symposia, colloquia and courses. Compiles technical and 0th.er information for reports, correspondence, and outcome data collection. Assembles information for and assists in preparation of budget requests. Maintains confidential, personnel and payroll records. Produces periodic status reports.
Secretarial Support:
Performs secretarial duties including: the sorting and routing of mail, serving as departmental receptionist, maintaining files and office supplies. Arranging travel and other accommodations. Frequently composes, types, and signs non-routine correspondence providing factual information. Gathers necessary information for and drafts important, confidential correspondence. Transcribes and distributes administrative meeting minutes. Occasionally serves as recording secretary at meetings. Performs various other duties including: managing clinician schedules and working collaboratively and effectively with interdisciplinary teams across internal departments and external customers. Assists in arrangements for symposia, colloquia, and administrative meetings, prepares and distributes agenda, reserves meeting place, etc.
Qualifications:
Two years of post-high school education; at least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision; or a combination of training and experience equivalent to the above.
Preferred Qualifications:
Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.
