Provides direct support for ISD Directors and ISD staff by carrying out routine and non-routine administrative functions. Responsibilities include management of the calendar and time, correspondence, agenda minutes and other specialized support functions. This position requires a person with strong/positive people and communication skills, in-depth PC skills, multi-tasking abilities, responsiveness and maturity, and the ability for self-direction with good judgment, flexibility and initiate in handling large volumes of work and responsibilities, effectively and efficiently.
With minimal direction and considerable latitude for initiative and judgment, performs clerical duties and coordinates small projects as assigned:
Provides administrative assistance to the Directors, furnishes factual reports and information about the project; may compile technical and other information for publications, reports or correspondence; Produces periodic status reports.Performs word processing of reports, correspondence, agendas, minutes, presentation materials, etc.Originates some routine and non-routine correspondence, maintains mailing lists for current projects and activities.
Performs secretarial duties including: scheduling and coordinating all aspects of committee meetings, special project meetings and conferences; which may include preparing agendas and packets of material, setting up conference calls, and taking meeting minutes.
Manages calendars, screens calls, and assists with day-to-day administrative functions.
Prepares travel and conference reports, check requests, catering and purchase requisitions.
Answers telephones and triages messages to appropriate individual; gathers, sorts and distributes mail; maintains files; copying; responds to routine inquiries.
Provides backup administrative assistance within the ISD Admin team as needed .
Other duties/projects as assigned.
2 years of post high school education in secretarial studies or the equivalent. At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation. Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers. OR a combination of formal training and experience equivalent to the above.
