Under the direction of the Regional Program Administrator is responsible for coordinating the clinical services for all departments and divisions who occupy the FFTH POB Multispecialty suite. Under the direction of the Regional Administration team, serves as clinic lead for all new tenant onboarding initiatives. Assume responsibility for efficient operations and oversight of clinical operations, integration of staff and serves as the day to day clinic manager.
Clinical Operations and Management
Hire, assign, supervise and provide guidance to clinical staff. Authorize and approve payroll. Responsible for selecting highly qualified staff using pre-determined criteria based on job content and organizational values.
Serve as Super User for FFTH POB Multispecialty Suite
Resolve personnel problems and complete performance evaluations. Be able to disseminate feedback on employee performance, both positive and negative, within reasonable and appropriate timelines.
Maintain an above average working knowledge of the clerical and administrative office functions including but not limited to: appointment scheduling, phone triage, medical terminology, medical records maintenance.
Provide dependable decisions and feedback, continually assuring that decisions made are in the best interest of the practice, providers and University.
Develop and/or update operational policies and procedures to ensure that all applicable front end duties are carried out consistently among a wide range of employees.
Communicates clearly with all levels of employees and other customers. Listens to feedback and takes immediate steps to resolve problems. Identifies, clarifies, and researches problems to find the best solution.
As a member of the FFTH POB Multispecialty clinic operations team, serve as liaison between clerical staff and faculty to identify and resolve problems.
Proactively seeks out opportunities to help/teach others. Identifies and clearly expresses ideas, suggestions, and problem solving opportunities. Leads work groups by fostering team spirit and cooperation.
Relies on experience and judgment to plan and accomplish assigned tasks and roles. Takes accountability for own work. Provides support to others in fulfilling their work.
Continually look for ways to streamline and reduce costs.
Staff Development, Accountability & Customer Service
Operates, maintains, troubleshoots, and teaches others in the use of standard and complex office equipment.
Trains others in the use of specialized software used in the functional area.
Continually seeks additional knowledge of software and equipment for improved use within the office/department.
Checks the work of others and maintains accountability for their results and products.
Provides backup support for other staff and provides clinical secretarial, billing and reception cover during staff.
Models ICARE and reinforces customer service behaviors. Treats customers, including faculty and staff with courtesy and respect. Is personally committed to understanding and meeting the unique needs of external and internal customers.
Education: 2 years of post high school education in secretarial studies or the equivalent.
Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.
