POSITION SUMMARY:
Reporting to the Assistant to the Vice Provost (VP) and Director, UHS, provide secretarial and administrative support to University Health Service. Assist with clerical staff responsibilities for UHS in conjunction with the Administrative Assistant.
SPECIFIC RESPONSIBILITIES :
Provide secretarial support for UHS Clinical Staff (including staff physicians, nurse practitioners, nursing staff, and support staff): with general guidance as to priorities, managing responsibilities within set deadlines.
Prepare meeting minutes for Monthly All Staff Meetings
Receives sick calls and advise those appropriate
Provides back-up support for Assistant to Vice-Provost & Director of UHS. This includes assistance with UR Special Parking Accommodations, and management of the program reponding to Student requests for “special accommodations (dining) due to a disability”, and to student requests for leave of absence from the University, due to a medical reason.
Maintains file of completed reports.
Receive and direct visitors and guests
Coordinate mail handling procedures and schedules.
Open, organize, and prioritize incoming mail.
Participate in mail pickup and delivery as needed.
Coordinate special bulk mailings, and student and patient mass mailings for UHS and other programs.
Purchasing
Using the UR P2P system for preparing requisitions for services, supplies for UHS business needs
Assure sufficient levels of inventory for office supplies and supplies for equipment in all areas of UHS.
Special Projects and Tasks
Coordinate distribution of keys and swipe access to UHS locations.
Serve as lead operator for fax, printer, and copiers; coordinating supplies and maintenance.
Departmental liaison for facilities maintenance problems and courier scheduling.
Assist with coordination of UHS special events, including departmental breakfasts, luncheons, receptions and meetings.
Provide support as needed for UHS Clinincs for testing and vaccinations, occasionally including evenings and weekends
Forms Management
- Revise, distribute and maintain supply of UHS forms; majority of which are used for clinical purposes.
Other duties as assigned
QUALIFICATIONS:
Two years of post-high school education required
At least 2 years of secretarial, word processing and practical office experience or equivalent combination of education and experience required
Excellent communication skills (including written communication) with proficiency in Microsoft Office (Outlook, Word, Access, Excel) required.
This position requires a highly motivated, independent worker with strong organizational skills, who is willing to work as team player to improve office functions and the services provided required.
Ability to perform multiple tasks simultaneously required.
Excellent customer service skills required.

Pay Range
Pay Range: $15.38 - $21.54 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
