Responsibilities
Position Summary:
With general direction and latitude for initiative and judgement, perform routine and non-routine duties requiring advanced secretarial and database skills and proficiency in an administrative office. Demonstrate ability to communicate on a professional level with directors, administrators, and hospital staff, customers (patients) and co-workers. Demonstrate ability to prioritize, perform assignments in a timely manner, proactively recommend and implement continuous quality improvements.
Responsibilities:
Administrative Office Support
Organizes meeting requests, sets up for meetings including zoom or other forms of videoconferencing, troubleshoots technical issues, participates in meetings by taking minutes, tracks meeting attendance and distributes minutes.
Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders with various vendors; verifying receipt of supplies.
Performs administrative tasks including mail responsibilities, copies/scans/files documents, maintains old files/purging per schedule.
Arranges travel and other accommodations, prepares travel reimbursement forms.
Entering data into database (RL Solutions), scans final documents, and files cases in Division binder and MD files.
Updating and maintaining existing procedures and guides, as well as phone lists, and other contact lists.
Serves as liaison to other medical center services as needed (not limited to) Facilities, IT, Environmental Services, Computer Services and University Mail Services requesting services and overseeing work to completion.
Assists with reconciling the Ledgers on a monthly basis.
Assists the Quality Staff with work including but not limited to; follow up calls to patients, coordination of patient mailings, preparing database reports.
Ensures office area is clean and organized.
Performs other related duties as assigned.
Qualifications:
2 years of post-high school education, secretarial or computer studies or equivalent.
Preferred Qualifications:
Detail oriented with strong organizational and prioritization skills and ability to work independently under general guidance.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), and electronic medical record.
Medical terminology knowledge and previous experience in a medical field preferred.
Ability to interact with staff from all levels of the University in a professional and courteous manner.

Pay Range
Pay Range: $ 15.38 - $ 21.54 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
