Responsibilities

Job Summary

With general direction and latitude for initiative and judgement, perform routine and non-routine duties requiring advanced secretarial, word processing, and database skills and proficiency in an administrative office; specifically the MFG United Business Office. Demonstrate ability to communicate on a professional level with directors, administrators, and hospital staff, customers (patients) and co-workers. Demonstrate ability to prioritize, perform assignments in a timely manner, proactively recommend and implement continuous quality improvements.

Key Functions and Expected Performances

Under general direction from the Manager of Administrative Services with latitude for initiative and judgement perform duties as assigned.

35% Administrative Support

  • 20% Provide limited administrative assistance to the Manager of Administrative Services, UBO Leadership and staff members on specific secretarial/administrative work.

  • 15% typing of letters, memos, and process payroll for submission in HRMS.

40% Clerical Support

  • 35% Perform clerical duties including the sorting and routing of UBO mail. Maintain department policy and procedure manual. Manage conference room calendars. Provide department support but not limited to Well U, United Way, etc. Provide back-up clerical support to Administrative Assistant in department.

  • 5% Equipment maintenance and service calls, etc.

25% Correspondence

  • Occasionally compose, type and sign non-routine correspondence providing information. Assemble information for and draft important and confidential correspondence. Revise, edit and manipulate text and documents for specialized presentations.

  • Types summary or verbatim transcripts of administrative meetings, coordinates multiple calendars for departmental/administrative meetings. Type and distribute agenda and meeting materials. (i.e. Webinars)

  • May supervise other secretarial and clerical assistants

  • Performs other related duties as assigned

  • Serve as backup to department receptionist

Qualifications:

Education: 2 years post high school education; secretarial or word processing studies or the equivalent

Experience At least 2 years of secretarial, word processing and practical office experience with demonstrated ability to work with limited direction and to direct the work of word processors or clerical assistants.

Or a combination of formal training and experience equivalent to the above.

Pay Range

Pay Range: $ 15.38 - $ 21.54 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
