POSITION SUMMARY:
Supports the Store Manager (Optician) in ensuring that all optical quality controls, including daily cash reconciliation, are in compliance at the satellite optical enterprise; assist retail optical customers and Flaum Eye Institute patients with high end eyewear selection.
RESPONSIBILITIES:
Answer practice phones and greet incoming visitors offering the customer a warm reception; Check in/out patients, schedule follow-up visits and process payments. Role models excellent customer service to patients and their families, providers and staff.
Schedule and reschedule ophthalmic appointment requests for patient checking out after being seen by an ophthalmic care provider. Appointments must be triaged to the appropriate sub-specialty service. Triaging requires basic knowledge of ophthalmic medical ailments and ability to determine urgency of complaint (if uncertain, calls will be triaged by service specialists or nursing staff).
Contact Lens Responsibilities:
Maintains contact lens service agreements. Establish and maintain relationships with contact lens suppliers for the purpose of purchasing inventory, collecting equipment/product information or resolving equipment/product problems. Maintain inventory which involves meeting with sales representatives, ordering lenses and other supplies. Ensures all contact lens charges are collected or submitted to billing department, and reconciled at the end of the business day.
Orders all contact lenses by accurately specifying lens parameters; verifies lens specifications on delivery prior to patient notification; maintains database of lenses ordered and received. Maintains inventory levels by auditing and ordering trial lenses and supplies. Reconciles invoices with statements while monitoring credits and exchanges.
Notifies patients following receipt of ordered lenses; follows the recall policy and procedure for unclaimed lenses. Schedules patients for contact lens appointments. Maintains knowledge of current technological developments in contact lenses and patient needs.
Obtains insurance pre-authorizations as needed and contacts patient prior to appointment if any problems arise.
Answers correspondence, and other inquiries; authorize insurance benefits prior to visit and as needed during the encounter; call customers to schedule frame or contact lens pickups with Optician; confirm patient appointments and assist in ensuring patients arrive to correct location for exam and eyewear.
Represents and serves as first impression to patients and visitors for the Flaum Eye Institute in communicating instructions, coordinating referral visits as needed to the FEI Medical Center location; communicating matters of importance to manager, faculty, staff, and the general public in an effort to build the practice and provide timely communications.
Organize and shine frames and clean lenses and display cases; assist in keeping optical and desk area and visitor areas neat and clean, maintain contact lens room, stock trial kits and restock inventory and dispose of expired inventory; other duties as directed by managing optician.
QUALIFICATIONS:
Associates degree or equivalent combination of education and experience
Solid written, verbal and interpersonal skills are critical
Computer literate and technology savvy
Must have a passion for providing excellent customer service
Great communication skills in person and on the phone
Self-motivated and organizational skills
Sales and/or retail experience desired but not a must
Ability to function in a fast paced environment
Comfortable with simple mathematical calculations
Must be able to maintain patient confidentiality.
Ability to guide frame selection based upon shape of patient's face, frame fit, and patient’s individual style
Time management skills necessary
Team player willing to work independently
