Responsibilities
General Purpose:
With minimal direction from department leadership and administrators, utilizes knowledge of URMC systems, operational structures, clinical workflows and processes to provide Project Management (PM) services, including analytical, operational, application, infrastructure, budgeting and consultative services for URMQI projects and programs designed to improve Medical Center systems and operations resulting in more effective and efficient use of resources, improved patient care and reduced costs where applicable.
Specific Responsibilities:
Under general guidance and with latitude for independent judgment and initiative:
Project Management
Utilizes with consistency, project management methodology and tools. Defines and reviews the objectives, scope, benefit, budget (as applicable), success factors of the projects and confirms respective leadership commitment to the projects.
Completes advanced project management planning and coordination for multi-layered dependent major and dependent sub-major projects and associated integral workflows and training.
Utilize project management tools and protocols to assess current state, determine scope of the projects, through collaboration with the executive project sponsor, key clinical users, and Inter-Intradepartmental stakeholders
Manages projects from inception to completion.
Ensures deliverables are within approved budget, schedule, contingency and meets applicable standards.
Canvasses teams to identify project risks, develops mitigation strategies/plans and works implement strategies as indicated.
Establishes and executes a transparent project communication plan and timelines. Escalates communication of issues with plan requiring attention in timely and appropriate manner
Utilizes motivation techniques to ensure project teams reaches respective goals and milestones.
Negotiates with key Leadership, Management, and/or Project Sponsor to obtain key resources or materials.
Estimates and measures the value of the project work products on aspects including efficacy, patient and staff satisfaction, and direct and indirect financial benefit.
Multi Project Facilitation/Coordination
Independently oversees multiple medium to large projects with ranging complexity, using differentiated tools to track progress and evaluate for changing needs.
Identifies project specific, unique key metrics and collaborates with decision makers using respective multi modal communication pathways relevant to separate projects.
Develops and executes needs based, unique project plans and tracking files for each respective project.
Prioritizes activities and engagement among projects to ensure projects are completed on time and meet established requirements.
In collaboration with appropriate stakeholders, develops implementation approaches and creates end to end project plan utilizing standard
PM tools and deliverables.
Applies change management models and approaches to increase adoption and sustaining of change.
Manages and facilitates strategic communications and planning required for implementing interdepartmental, foundationally complex, integrated department and clinical specialty solutions.
Consulting/Coaching
Guides teams to define main objectives of programs, projects, its purpose and its scope.
Manages, facilitates, and coordinates the development of workflows to integrate with operations and/or clinical process relevant to specific projects.
Facilitates transparent communication with key multi service line and departmental stakeholders, staff and respective leadership.
Coordinates agendas, project plans, meeting summaries, and issue resolution/mitigation tracking. Escalates appropriately, prioritizes, and gains approvals as indicated.
Coordinates benchmarking with internal departments and external institutions. Leads collaborative teams both on site and remotely with detailed evaluation of requirements, and strategy-setting of initiatives.
Keeps current with business and strategic goals, University and Med Center service providers and any associated environments and program structures
Communicates and educates at the end user’s level, in the context of the user’s business purposes.
Negotiates conflict resolution when needed between team members or product owners.
Assesses and evaluates with communication of results, including the appropriateness of various proposed solutions.
Builds and maintains internal departmental relationships.
Process Flow and Data Analysis
Facilitates analysis for plan integration with appropriate stakeholders, clinical specialty groups, and leadership to achieve designed and integrated strategic plans.
Helps identify success metrics and helps determine if goals are achieved through regular monitoring of progress across assigned projects.
Effectively analyzes work processes and project plan data. Produces reports and graphic display/data visualizations.
Identifies project process issues, risks, and areas for process improvement.
Creates alternative/cost-effective/creative solutions and uses and develops cost/benefit analyses.
Monitors progress of a project identifying gaps and challenges with development of generalizable solutions and tactical adjustments in strategy for department specific reference.
Maintains PM, clinical workflow, process and institutional structure expertise.
Provides troubleshooting as needed.
Serves on URMQI committees and chairs and attends meetings as requested.
Other duties as assigned
REQUIREMENTS:
Bachelor’s degree required; Master's degree preferred. 5 years of relevant experience including at least 2 years at a managerial level; or equivalent combination of education and experience. One year of professional project management experience preferred.
Ability to take responsibility for multiple projects and show initiative in making suggestions and decisions;
Proficiency with Microsoft Office Suite, Excel spreadsheet creation, and data analysis;
Ability to quickly learn new systems, programs, and /or software;
Ability to set priorities and manage competing demands;
Must be able to prepare and present materials clearly to varying levels within the department and/or organization;
Strong interpersonal, presentation, and communication skills, including written communication;
Strong analytical skills and strong attention to detail;
Ability to work independently but also in a team environment.

- Project Management Certification, APM, CAPM or CPM
