Position Summary:

With limited direction and considerable latitude for independent judgment and decision-making, the Administrator provides high-level support to the Office of the Provost maintaining an effective, efficient, and professional office environment. The position is responsible for representing the Office of the Provost in a professional manner to a variety of internal and external constituents, including trustees, senior executives, deans, faculty, staff, students, alumni, community members, and the Office of the President. This position requires a person with sound judgment, professionalism, attention to detail, outstanding communication skills, and the ability to maintain confidentiality.

Key Responsibilities:

Project Management (30%)Under general direction and with considerable independent judgment, supports institutional initiatives related to the academic mission of the university

  • As directed, coordinates communication across the university on operational-focused projects

  • Provide status updates on current and ongoing projects to the Executive Assistant to the Provost

  • Provide support to committees or project teams as requested

  • Maintain UR Space data and Non-Research Surveys

  • Create and maintain Department Chair data base

  • Administer teaching, commencement, alumni, and other awards as assigned

Events Coordination (30%)Manages and coordinates all aspects of event planning for the Office of the Provost. Event types will include, but are not limited to, advancement-related gatherings, recruitment events for administration, Dean and Faculty committee dinners, special receptions, administrative summits, and seminars as well as all functions hosted by the Provost at the Patrick Barry House.Specific responsibilities to include:

  • Overseeing and coordinating facilities, including determining space requirements and special accommodations for guests

  • Managing program elements for all events as needed, including developing agendas, advertising, and marketing

  • Managing the expenditures for each event, tracking event-specific and annual expenses, preparing invoices for payment, and initiating and authorizing orders for equipment, supplies, and services

    Provost Office Administration (40%) Provide administrative support to senior leaders as assigned.

  • Calendaring

  • Project Support

  • As assigned, staff meetings (agendas, notes, scheduling)

  • Serves as back-up and secondary support to the Office Administrator and Executive Assistant to the Provost.

  • Other duties as required

Position Requirements:

College degree or an equivalent combination of experience and training. Seven years or more of relevant office administration experience. The job requires excellent professional and interpersonal skills, ability to interact effectively with senior administrators, faculty, staff, and students. Good communications skills (verbal and written) and good organizational skills. High proficiency with Microsoft Office is required.
