Develop, implement and maintain efficient inventory management processes at SMH for the inpatient pharmacy and associated clinics. Directly supervise pharmacy technicians working in the SMH Pharmacy Stock Room, and SMH purchasing staff. Monitor appropriate contract pricing and contractual agreements for pharmacy purchases at SMH. Maintain a high level of service to all customers related to inventory management, purchasing and stocking, within the department and on nursing care units or clinics.
Under general direction and with latitude for independent judgment:
Verifies all pricing received by Pharmacy is correct, loaded properly and received per corporate contracts. Manages market share percentages to ensure best tier and rebates available. Produces routine reports (typically monthly) on high cost medication purchases, inventory waste, contract compliance rate and cost savings opportunities related to purchasing. Identifies opportunities for increased productivity of purchasing operations.
Tracks performance and compliance of implementing formulary changes to ensure that the maximum benefit is being derived from each particular contract. Identifies issues related to market share or effects of shortages on these implementations. Implements and monitors systems for tracking trends and analyzing financial impacts of non-formulary drug use.
Plans, organizes, schedules and implements procedures for purchasing. Reviews requisitions for proper authorization, accurate account numbers, completion of description of product or service, delivery destination and schedule and other terms and conditions. Generates purchase orders including standing orders, blanket orders and leases, modifying standard language to suit the particulars of non-routine orders. Assists and instructs users on the general purchasing process and the proper procedures to follow for the different product areas.
Utilizes Inventory Management System to maintain appropriate PAR levels for stock, facilitating adjustments based on fluctuating use to maximize inventory turns and minimize stock outs. Monitors and controls the inventory process, performing rigorous utilization review in order to match order patterns to reflect more efficient levels of stock and adequate turnover. Maintains proper procedures related to inventory segregation (physical and virtual) to ensure compliance with 340B regulations and practices. Identifies, evaluate and implement technology solutions to reduce inventory costs and/or improve efficiencies.
Recruitments, interviews, and hires pharmacy technician staff for the stockroom and SMH purchasing staff. Takes the lead on decisions related to transfers, promotions, disciplinary action and termination in accordance with URMC and departmental policies. Schedules staffing and implements changes to schedule/staffing plan as workload dictates. Oversees time reporting and evaluates non-productive time and approves/monitors overtime and unplanned absences, independently following up with employees as appropriate to address disciplinary action if necessary.
Provides feedback to pharmacy technicians and purchasing staff, conducts annual performance reviews, probationary updates, recognition for outstanding performance, development of career goals/opportunities and disciplinary procedures as required. Recommends compensation adjustment based on progression through the career ladder and the annual wage and salary program.
Serves as primary resource for customers related to purchasing and inventory management of medications. This included being the primary contact for nurse managers and leaders to troubleshoot service issues related to inventory and stocking.
Communicates effectively with all departmental staff regarding inventory management issues or therapeutic options available under the guidance of the Associate Director of Pharmaceutical Supply Chain Management facilitating cost effective decisions for patient care needs.
Bachelor’s Degree in Finance or Business Management or related field and 2 to 5 years of experience in institutional inventory-management or purchasing; or an equivalent combination of training and experience. A Master’s Degree in Business or prior Pharmacy inventory management or buying experience preferred.
