Responsibilities

Position Summary:

With general direction and judgment, providing secretarial support for the Division of Vascular Surgery outpatient clinics. Performs routine and non-routine duties to general office functioning.

Duties:

Open Office:

  • Make sure waiting room is presentable.
  • Open all lights and doors.
  • Collect all inboxes throughout the clinic.
  • Make sure deposits, billing info and mail are ready for the courier.
  • Check and work all faxes from the evening prior (call service, referring offices, VNS, etc.)
  • Print pre-verification report for pts seeing Provider and/or having ultrasounds verifying insurance using the CIVU codes. Utilize multiple insurance websites and/or calling for authorizations for patients to be seen that are in need of a referral.

Phones:

  • Turn on and log into phone system by 8AM daily.
  • Answer all incoming calls.
  • Triage calls to the APP via eRecord for questions which are clinical and cannot be answered by clerical staff.
  • Calls insurance companies to receive authorizations for patients requiring CT’s and other testing ordered.
  • Call and reschedule all patients due to bumps and clinical changes.
  • Go through Televox call report and cancel and reschedule appointments.

Scheduling:

  • Working and maintaining the incoming and outgoing referral work queue.
  • Work incoming referrals from external providers via fax, phone or mail, making sure all info is received prior to visit.
  • Scheduling orders CT’s, US, etc. requested from Providers in clinic, Residents, APP, input/output or referring offices.
  • Prepares all encounters making sure all necessary paperwork is attached for the following day.
  • Makes sure all records are in eRecord from outside referring offices prior to visit.
  • Upload all scans into LifeImage including but not limited to CTs, ultrasounds, etc.
  • Enters ultrasound orders for all CV orders that do not have an US entered by a Provider (Avg. 15-30 orders per day)
  • Schedules ultrasounds and Provider appointments ensuring patients have a “required” ultrasound prior.
  • Calls insurance companies to receive authorizations for patients requiring CTs and other testing ordered.
  • Makes sure all is documented on the CT calendar.
  • Check in/out all patients coming for ultrasound and/or Provider visits.

Close Office:

  • All no shows are accounted for and AVS have been printed for the day.
  • Prepares all encounters making sure all necessary paperwork is attached for the following day.
  • Collect all inboxes throughout the clinic.
  • Make sure waiting room is clean and straightened.

Qualifications:

High School diploma and 2.5 years related work experience; or an equivalent combination of education and experience. Medical terminology experience required. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction.
