Position Summary and Supervision:
This position serves Sleep Medicine patients and referring physicians, under the general guidance of the Practice Manager. Duties include performing all Front Desk activities as required, scheduling patients for various appointment types and answering phones. The candidate must possess excellent communication skills and exercise independent judgment and initiative in registering, scheduling and communicating with patients. The position requires attention to detail, the ability to prioritize tasks, to type accurately, and be familiar and comfortable working with computers. The candidate must be able to work independently, and perform routine and non-routine clerical duties of a specialized nature in an extremely busy environment. Patient privacy policies must be followed in the conduct of all job responsibilities.
Responsibilities – Essential:
Manage workload responsibilities to ensure priorities are appropriately set and all work is completed in a timely and efficient manner. Maintains good customer skills at all times including responsibility for courteous and efficient phone communication.
Perform check-in functions during clinic time.
Serves as receptionist to all people coming into office for all Sleep related appointments
Responsible for the accurate and complete registration of all patients’ specifically patient demographics and insurance information.
Evaluate acquired information for completeness and accuracy
Monitors waiting room to ensure patients have been checked and ushered into exam rooms in a timely fashion. Keep patients informed of wait times
Perform check-out functions during clinic time
Books return clinic visits optimizing provider schedules.
Coordinates appointments for sleep studies, follows-up missed appointments and cancellations, completes any correspondence or forms involved with appointment scheduling.
Collects appropriate copay payments
Manages eRecord work-queues and clerical pool messages. This includes tasks such as queuing medication refills, managing release of information requests, etc. Verify patient insurances prior to scheduled appointment times via electronic methods which may require telephone calls to insurers and patients.
Manages incoming and outgoing phone calls, route calls to appropriate areas and/or task detailed messages to providers and other staff members. Assist with reminder phone calls to patients, and rescheduling of bumped patients.
Performs other secretarial activities of office for cross covering; including, but not limited to, opening, sorting and routing of mail, photocopying, maintaining files and office supplies and maintaining office equipment.
All other duties as assigned
High school diploma, plus 2 years related work experience; or an equivalent combination of education and experience. Preferred: Medical terminology experience, demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates the ICARE values to patient, families and staff. Ability to act as a resource to les experienced staff. Computer literate demonstrating the ability to type accurately on office equipment. Desire to work in a clinical setting, interacting daily with patients. Demonstrate the ability and desire to perform both independently and as a team player. Requires strong people skills, attention to detail, and initiative.
