With considerable latitude for exercise of independent judgement, serves as the Operations Manager for the Hornell Multispecialty Clinic (7 specialties). This position is also responsible for financial operations, human resources, billing and revenue integrity functions, and overall planning. The Operations Manager will maintain a positive work environment by demonstrating respect and professionalism in all interactions with physicians, nurses, staff and patients.
This role is responsible for daily oversight of all operational systems, processes and functions in the multispecialty clinic. Continuously analyzes processes and develops and implements best practices to run an efficient clinic. Monitors exam room utilization by providers and allocates exam rooms based on established 1.00 exam room turn per hour. Participate and make recommendations related to development, implementation, and monitoring of productivity standards. Proactively identify and problem-solve all patient complaints in a time efficient manner.
Assists in facilities planning, determines need for and recommends equipment, repairs, supplies and clerical and other support staff. Initiate requisitions and represents the department in obtaining support services.
Interprets policy and regulations, etc. to other departments and the general public. Participates with faculty in the planning and design of program changes.
Develop operating budget and manage revenue/expenses, for the multispecialty clinic. Analyze, estimate, and forecast staffing and non-staffing expenditures, medical supplies, and expenses for all programs. Review monthly variances to reconcile and review overall expenses. Develop and coordinate capital budget process - determine needs, obtain quotes, prioritize requests, write justifications, and gather other information related to submission.
Responsible for overseeing billing processes and functions to insure services are billed accurately and timely through St. James Memorial Hospital. Works very close with St. James Memorial Hospital’s billing manager, coders and business office staff.
Responsible for all recruiting, hiring, orientation, training, development and evaluation and management of staff. Establish a patient centered culture and promote the importance of exhibiting positive behaviors and interpersonal communications.
Planning and Development:
Participates in planning, development and design of the multispecialty clinic. Works collaboratively with many internal departments and external organizations to carry out and complete renovations. Develops and implements operational systems for newly initiated services.
Bachelor's Degree and five years relevant experience including at least 2 years at a managerial level; or an equivalent combination of education and experience. Degree in Business Administration, Nursing or other health related field, Masters in Healthcare Administration or Business Administration preferred.
