MBA/MS Admissions Coordinator

GENERAL PURPOSE:

With minimum direction and latitude for independent judgment, performs routine and non-routine duties requiring strong customer service and advanced secretarial skills. Co-manage the Reception Desk of the Simon School Admissions and Program Office, serving as a first point of contact for visitors and applicant/prospective student queries to the office. With attentive customer service skills, high attention to accuracy, balanced with strong output – process applications and I-20 documents for prospective students.

SPECIFIC RESPONSIBILITIES:

Prospect and Application Management (45%)

  • Manages CYE (Check Your Eligibility) campaigns including initiating communication and engagement with prospective students, managing the CYE email inbox, and triaging candidates for Informational Meetings with Admissions staff

  • Processes newly submitted applications, complete incomplete applications, and update existing applications; back-up support for Applications email inbox to respond to prospects and applicants

  • Provides back-up support (can include evenings and weekends during peak season) for administration and scheduling of MBA and MS Admissions Interviews

  • Process new I-20 documents for international students and support office I-20 email account with replying to routine inquiries

  • Assists in the onboarding process for collecting official test scores, official transcripts, and other application materials for enrolling students; staffs Admissions Check-In sessions

  • Potential, depending on skill set, for daily and weekly maintenance and clean-up of incoming prospects from various purchase lists to import into CMS

Front Desk Reception (both primary and back-up support during breaks, unscheduled absences, and vacation) (25%)

  • Greets all visitors upon arrival to the Admissions & Programs Office

  • Answers primary phone line for the entire Simon School and the Admissions & Programs Office

  • Supports primary Admissions e-mail account handling routine inquiries

  • Triages email, phone and walk-in visitors to the appropriate contact when needed, including but not limited to Admissions Counselors, Department Directors, and Deans within the Simon School

Vi s it or Se r v i ces (15%)

  • Provides pre-visit and on-site support and services on behalf of the Admissions Department for individual prospective student visitors or large Admissions events.

  • Assists the Event Manager in preparing materials for large on-campus and off-campus Admissions events, including nametags, folders, welcome packets, etc.

  • Assists in the on-boarding process for incoming students, including accepting their official transcripts and logging them into their student record, answering their questions about offices on campus, directing students to other on- campus departments, and related activities

O ffi ce Support and Special Projects (15%)

  • Packs and ships all recruiting travel materials

  • Assembles and mails prospect mailings

  • Maintains office supplies and equipment needed to run the Admissions & Programs Office

  • Handles and sorts all incoming and outgoing mail

  • Assists Admissions Officers with both routine and ad hoc data entry in the CRM and database systems (Slate)

QUALIFICATIONS:

Strong customer service orientation; ability to exercise excellent judgment in decision-making; ability to work independently and with a high degree of accuracy in a fast-paced environment. Advanced computer and secretarial skills including Microsoft Office Suite and CRM database systems. Prefer post-high school education – associate’s or bachelor’s degree. Strongly prefer relevant work experience in a customer service/sales-oriented environment.
