Manager, Residency/Fellowship

This position is responsible for the management of all GME Programs in the Department of Psychiatry, including the Psychiatry Residency Program, Child and Adolescent Psychiatry Fellowship, Geriatric Psychiatry Fellowship, Consultation Liaison Psychiatry Fellowship, and Forensic Psychiatry Fellowship, and the Psychiatry Clerkship in concert with the Psychiatry Residency Program Director, Clerkship Director and Psychiatry Fellowship Directors. This includes planning, directing, and managing all phases of the personnel, administrative, recruitment, and orientation programmatic activities/functions associated with those programs. This position also provides administrative oversight of the Skills Lab and directly supervises the Psych Tech group supervisor and the GME programs Admin staff and provide admin supervision for 42 residents and fellows.


Compliance of Residency and Fellowship Programs with Regulatory Requirements:

  • Ensure Residency and Fellowship Program Compliance with ACGME (Accreditation Council for Graduation Medical Education) Regulations including, WebAds, Annual Program Evaluation (APE), self-study processes, ACGME Site Visits and CLER visits

  • Ensure Residency and Fellowship Program Compliance with Institutional Requirements (department level oversight), NY State regulations, American Board of Psychiatry and Neurology(ABPN)requirements,JCAHO, and URMC GME Office oversight. Represents the Department of Psychiatry programs in interactionswith the ACGME,GME Office, ABPN, AAMC and NYS to clarify requirements, ensure program compliance, and resolve conflicts between requirements from differentorganizations.

  • Independently review and keep current all written policies and procedures as outlined by the ACGME, URMC policy, ABPN, JCAHO, and NYS regulations, and ensuringresident and fellowcompliance with these policies and procedures. Interpret policies to faculty and trainees asneeded.

General Residency and Psychiatry Fellowship Administration:

  • Monitor, and reconcile the Residency and Fellowship salary, operating, and capital budgets utilizing WorkDay to monitor all account activity. Liaison with Psychiatry finance regarding residency and fellowship salary distributions.

  • Supervise account and purchasing functions, including reconciliation with university reports, problem resolution and analysis of expense trends and variances for Psychiatry Education. Generate/review and approve payment for purchase orders, requisitions, invoices, travel, and personnel action forms.

  • Monitor and approve payroll and disability for Psychiatry Residents and Fellows.

  • Serve as faculty salary manager for program directors as assigned by Psychiatry Finance.

  • Maintain CLASP certification as required to administer sponsored projects.

  • Manage all aspects of residency and fellowship recruitment. Assume responsibility and accountability for verifying eligibility of applicants.

  • Support Residency and Fellowship programs’ process improvement efforts, independently evaluating and responding to concerning issues identified in annual surveys, program outcomes, and faculty, resident and fellow feedback.

  • Independently follow-up with Program Directors to resolve identified issues and make program enhancement recommendations to Directors.

  • Develop and manage the yearly interdisciplinary orientation process for incoming Residents and Fellows.

  • Oversee all operations of the residency and fellowship programs.

  • Participate as a member in AADPRT (American Association of Directors of Psychiatric Residency Training). Identify and stay current on new developments and Psychiatry educational trends as related to medical students, residents and Fellows.

  • Develop and implement benchmark activities with other programs.

  • Serve as a subject matter expert and provide guidance to coordinators and directors in proper process/procedures in preparing for site visits.

Staff Hiring, Supervision, and Oversight

  • In collaboration with Sr. Administrator of Education & Academic Affairs, identify, supervise, mentor, and evaluate department of Psychiatry Residency and Fellowship Coordinators including supervision, performance evaluation, compensation, job-related education, progressive discipline, termination, sick leave and vacation, disability, and employee benefits. Continuously evaluate changes in staff job responsibilities and develop requests for new positions and job reclassifications as needed.

  • Identify, evaluate and supervise all ACGME Residents and Fellows. Ensure Residents and Fellows compliance with university policies and procedures. Deliver non-clinical performance counseling to Residents and Fellows and provide feedback for their performance evaluations via participation in Clinical Competence Committee. Coordinate compensation, job-related education, progressive discipline, termination, sick leave, vacation, disability, moonlighting and employee benefits.

Oversight of the Administration of Medical Student Education in Psychiatry:

  • Oversees operations of the medical student educational programs. Interpret and educate Program Director regarding University policy and procedures.

  • Identify and evaluate process improvement opportunities, respond to challenges concerning program outcomes, and trainee and faculty feedback.

  • Train, mentor, and supervise coordinator

Administrative Oversight of the Psychiatry’s Skills Lab:

  • Supervise and support operations of the Skills Lab and the Psych Tech Group Supervisor.

  • Identify and evaluate process improvement opportunities, new customers and respond to challenges.

And other duties as assigned


  • Bachelor's degree and 5 years relevant experience, including at least 2 years at a managerial level (personnel, fiscal and resource management); or equivalent graduate training or experience in a specialty suited to the assignment required.

  • Relevant work experience in a complex health care system, including substantive work at the managerial level in an academic medical setting preferred. Administrative experience in ACGME programs also preferred.

  • Word Processing; Spreadsheet; Scheduling required.

Pay Range

Pay Range: $68,765 - $103,147 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
