Responsibilities

Position Summary:

The Personnel Coordinator, with minimal direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency. S/he is responsible for departmental administrative details, including but not limited to scheduling including new hire orientation, payroll, administrative support for Faculty and Laboratory staff, ledgers, and Safety/Quality Assurance documentation.

Job Duties:

Administrative: Scheduling (65%)

  • Manages and maintains department daily, weekend and holiday schedules for staff in the Hematology and Chemistry Laboratory using automated scheduling programs when available.

  • Authorizes requests for time off and approves subsequent changes to the schedule and communicates changes to appropriate individuals.

  • Prepares and posts master schedule six weeks in advance.

  • Ensures adequate staffing levels. Posts vacancies and assists staff with filling full or partial shifts.

  • Schedules employees and new hires for mandatory in-services.

  • Monitors staff compliance for required in-services and health updates.

  • Oversees and facilitates new hire orientation to laboratory policies, including scheduling and payroll policies. Schedules training of new staff with input from Supervisory staff.

Payroll (25%)

  • Reviews time sheets for completeness and accuracy.

  • Develops method for handling payroll using the HRMS system; performs payroll approvals in a timely manner meeting all payroll deadlines.

  • Trains Supervisors and staff on the HRMS system.

  • Communicates personnel changes (change in standard hours, shift, etc.) to Departmental Administrator for timely update to the HRMS system.

  • Monitors vacation, unscheduled absences, and tardiness records for supervisory review.

Safety/Quality Assurance Documentation (5%)

  • Documentation of safety incidents involving staff

  • Participation in and Documentation of safety training including annual live fire drills

  • Documentation and Management of QA reports

Miscellaneous (5%)

  • Special projects

  • Inventory

  • Assistance with mail sorting/filing

  • Places calls to facilities as needed; tracks project completions

  • Other tasks as assigned

Relationships/Authority:

  • Under general supervision of Chief Supervisor; receives direction from the Faculty, Chief Supervisor or Supervisors.

Qualifications:

Education/Experience: Two years of post high school education.. At least 2 years of secretarial and office experience, including 1 year which demonstrated the ability to work with minimum supervision, effective communication skills and a high degree of organizational skills.

Technical: Advanced PC skills; minimum Windows, Microsoft Word, Microsoft Excel and Power Point expertise. Ability to operate commonly used office machines such as fax, copiers, calculators. Good phone skills including experience with multi-line units. High degree of accuracy and attention to detail. Ability to multi-task.
