With limited direction and latitude for initiative and judgment, performs intake activities for UCC Clinical Program. Manages intakes for new clients and appointment scheduling. Works with other clerical staff in the areas of reception, answering incoming calls, and other duties as needed in UCC's front office.
Manages all aspects of patient appointment scheduling including telephones and walk-ins for all therapists.
Schedules patients, and triages emergency clients per protocol.
Manages therapist schedules, one-time appointments and works closely with the Administrative Assistant while managing waiting lists during busy times of the academic year.
Maintains Pyramed (P5) scheduling and weekly schedules.
Distributes shells to therapists in advance and updating P5 software program in a timely manner. Makes appropriate changes and updates P5 as needed.
Continuously informs Administrator of scheduling activities.
Works as a team with other support staff to maintain the efficiency of the front office.
Serves as focal point for answering questions from clients, staff and faculty. Provides problem solving with difficult client scheduling issues.
Completes travel and expense reports to facilitate reimbursements to appropriate staff members. Processes Requests for Payment and Requisitions as needed for the purchase of any UCC supplies.
Manages the appointment monitor on a weekly basis to process UCC’s clinical numbers.
Serves as back-up in the absence of the Secretary III at the front desk.
Performs various other related duties.
Associate's degree in Business Administration or Personnel Management and three years advance secretarial, and intake skills; or the equivalent combination of education and experience.
Some experience working with clients in a clinical setting and/or intake work preferred. Requires demonstrated ability to work with limited direction; proficiency in Microsoft Word, Windows and database management; comfort level answering phones in an office environment that is very busy nine months of the year and moderately busy three months of the year.How To Apply
