FEI Facilities Coordinator

POSITION SUMMARY:
The FEI Facilities Coordinator role is charged with facilitating the day-to-day facilities operations of the Flaum Eye Institute. These activities will be guided by the directives of the FEI Project Coordinator and Program Administrator. All duties, regular activities and special projects will be provided to all sections of the FEI: administrative operations, clinical operations, clinical trials, basic science research, and translational research divisions.
RESPONSIBILITIES:
Assists the FEI Project Coordinator with renovations and new construction.
With direction from the Project Coordinator may collaborate or consult with: UR Space Planning, UR Facilities, UR Fire Marshalls’ Office, UR Purchasing, ISD, University IT, SMH and SMD Environmental Services, architects, engineers, general contractors, trade contractors (e.g. electricians, plumbers, HVAC), moving companies, merchandise suppliers and installers (e.g. furniture vendors and their design teams)
Monitors and addresses building exterior maintenance needs as necessary.
Monitors department’s public areas and work spaces for repair and cleaning and addresses as necessary (e.g. ceiling leaks, stained carpets, loose tiles, light bulb replacements, damaged wall paint, damaged or worn furniture).
Reviews and submits/authorizes requests for housekeeping services beyond standard practices (e.g. carpet extractions, cleaning of decommissioned research laboratories).
Assists staff with identifying recycling and waste reduction opportunities, particularly for paper, metal, and electronic products. Facilitates and provides means to enhance departmental recycling.
Designated point-person for managing URSpace and Asset Inventory
Maintains relationships with furniture, office supply, and IT equipment vendors to stay abreast of industry trends intended to improve worker comfort and productivity.
Designated point-person for submitting requests to Security Services and URMC Lock Shop for swipe access to FEI facilities. Also designated point-person for submitting requests to URMC Lock Shop for key cut requests and door rekeying work orders. Maintains/holds the master key for the department.
Submits print orders for standardized forms.
Orders office supplies and approves all office supply order submissions from staff.
Researches/identifies specialty items requested by management team members.
Manages two onsite storage rooms (MC Annex) used to house surplus research equipment, furnishings, and building construction supplies used for repairs and maintains areas used for long-term storage of research-related documentation and scientific research packing materials.
Maintains the inventory of hand tools and materials to complete simple facility or equipment service requests or repairs when possible.
May be asked to remove or move large or heavy items or furniture in excess of 50lbs
Other duties as assigned.
QUALIFICATIONS:
College graduation or an equivalent combination of experience and training required. Detail-oriented with a proven ability to coordinate and manage projects.
