Part Time 20 hours Grade 009 MAG-EducationResponsibilities
GENERAL PURPOSE:Working closely with the McPherson Director of Academic Programs, the Docent and Tour Coordinator supports the management of the MAG docent program, which consists of approximately 90 volunteer docents. The Coordinator also books and schedules both in-person and virtual school tours. Finally, the Coordinator assists with logistics related to the docent training and enrichment programming.JOB DUTIES AND RESPONSIBILITIES:
Receives tour requests and coordinates all logistics including but not limited to scheduling, docent assignments, financial agreements, processing payments.
Recruits and places docents. Serves as the liaison between the Academic Programs Department and the docent corps to communicate lecture, learning opportunities, docent scheduling needs. Assists the Docent Council in its efforts to provide support and guidance for the docents.
Per the Director of Academic Programs, coordinates logistics related to docent training and enrichment programs. Creates a weekly docent newsletter, handles individual docent concerns, plans and executes regular docent appreciation events. Works with Director of Academic Programs to plan and execute docent meetings that are in-person, virtual, and hybrid.
Enters timely and accurate data in Customer Relations Management [CRM] software, runs reports to audit/track docent hours, tour and docent schedules, and provides revenue and activity reports for grant and departmental use.
Other duties as assigned
Bachelor’s degree required
3 years of experience, including 1 year working with volunteers, creating schedules, communicating with diverse groups of people and handling complex logistics or equivalent combination of education required
Time management, working under deadlines, excellent written and spoken communication, customer service, attention to detail, and ability to quickly learn and use scheduling and payment software preferred.
