Responsibilities

GENERAL PURPOSE: Serves as the lead administrator for the Multiple Pediatric Divisions and the Strong Children’s Research Center in the Department of Pediatrics. Operates as the primary business and operations point person on all Division matters with both internal and external agencies and officials. In conjunction with the Division Directors, delivers financial and operational oversight for the administrative functions of the Divisions including strategic plans, capital and operating budgets, HR functions, management of all clinical functions of the faculty practice, and collaborates with department teams on educational and research functions of the Divisions.

SPECIFIC RESPONSIBILITIES:

  • Finance – Serves as the financial officer for each division, responsible for oversight and management of all division financial matters. Prepares annual capital and operating budgets for all divisions. Develops business improvement plans for all programmatic expansions. Approves all expenditures in accordance with budgets and reviews financial reports monthly with Division Directors and Senior Administrators. Works collaboratively to ensure all inpatient, outpatient, and contractual services are performed and billed correctly in compliance with institutional revenue cycle metrics. Works with Division Directors to review provider and staff productivity.

  • Human Resources – Works with HR Business Partner, Division Directors and others to support human resource functions of the divisions for all employees, including recruitment, onboarding and training. Coordinates HR paperwork for all faculty and staff hires. Monitors and approves time. Establishes and maintains environment conducive to effective communication and problem resolution. Ensures all faculty and staff requirements/regulations are adhered to.

  • Serves as the primary supervisor for all division support staff responsible for recruitment, training, assignments and evaluations. Counsels staff, taking action on matters of discipline, promotion, salary and other personnel issues. Provides consistent and ongoing professional development support for all direct reports.

  • Operations - Ensures the administrative structure, infrastructure and work processes yield success with internal mission-specific performance metrics including hospital and JCAHO requirements, URMFG standards, revenue cycle management, patient flow and satisfaction, ACGME standards, QA/QI programs and Division Director initiatives. Interprets policy and regulations; establishes division policies to meet operational needs and implements as needed.

  • IT and Space – With the Division Directors and senior administrators oversees all space matters including space, furniture and equipment assignments. Evaluates and implements all IT infrastructure needs to support division functions

  • Marketing and Communications – In conjunction with Division Directors and senior administrators, oversees the coordination of mission-requested marketing and public relations communications including division brochures, division and SCRC websites and community correspondence. Oversees all consumer advocacy interactions and program communications.

  • Other duties as assigned

REQUIREMENTS:

  • Bachelor’s degree required. Master’s degree, equivalent course work, or specialized experience in an appropriate field related to the assignment is desirable.

  • 5-7 years relevant experience, including at least two years at a managerial level. Demonstrated success as a leader with progressive experience as a practice/division administrator required.

  • Excellent oral and written communication skills. High levels of emotional intelligence. Ability to manage budgets in excess of $5.0M, develop business proposals, analyze practice trends and physician and staff efficiency. Knowledge of UHC benchmarks, eRecord, McKesson Spotfire, URBudget, URFinancials, P2P, IBM Cognos, Kentico and GEMS preferred.

  • CLASP certification preferred
