Responsibilities
Summary:
With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for both the Department Faculty and Department Graduate and Undergraduate Programs. Receives general supervision from the Department Academic Operations Manager..
Responsibilities:
Administer Department Graduate Program
- Act as liaison with Graduate Deans Offices and International Services Office. Maintain graduate student files. Monitor student progress through degree programs. Handle graduate student applications through SLATE system and paperwork for stipends and tuition. Aid in preparation of paperwork for arrival of international students. Help to orient new students to department.
Administer Department Undergraduate Program
- Act as liaison with numerous offices such as academic support, scheduling office, admissions and registrars offices. Provide support for setting up department course schedules. Maintain undergraduate student files and preparation for graduation, as well as providing support for administering department prizes. Administer Sigma Gamma Epsilon. Handle paperwork for hiring undergraduate student employees. Additionally, provide employment and departmental training for students.
Updates to Student Communications
- Provide support for updates of Graduate Bulletin, Departmental Handbook and the Director of Graduate Studies. Provide support for required surveys including the National Science Foundation Survey of Graduate Programs. Monitors departmental website and other communications and request changes for information relevant for graduate and undergraduate studies. Provide support for updates of University Undergraduate Bulletin, First-year Handbook and other departmental publications.
Student Event Support
- Set up schedules for visits from prospective graduate students and coordinate the graduate student visiting weekend. Assist in planning and carrying out department diploma ceremony for commencement. Coordinate volunteers for Spring Open Campus, Advising and Major Fairs. Provide support for Senior Thesis presentations.

Requirements:
College graduation or an equivalent combination of experience and training required
Or an equivalent combination of education and experience, preferably with academic systems requireds
Bachelor's degree preferred
Excellent analytical, organizational, communication skills and attention to detail required. Position requires applicant to have strong Microsoft Office skills. The applicant needs to have the ability to work in a fast-paced environment within tight deadlines required

Pay Range
Pay Range: $18.27 - $33.65 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
