Departmental Support

  • Maintain and update department website; add events to department website calendar.

  • Maintain departmental key files and logs, including distributing keys, inventory, and replacement.

  • Schedule department’s conference rooms and reserved parking spaces.

  • Make travel and conference arrangements for faculty and graduate students via F2.

  • Prepare reimbursement forms for department (e.g., travel and purchase reimbursements); maintain log of annual travel budgets.

  • Prepare mailings via FedEx, USPS, and UPS as needed.

  • Report routine facilities and housekeeping issues as needed.

  • Maintain departmental printers; call for service and keep paper supply.

  • Other tasks as required.

Faculty Support

  • Design and layout tables and figures needed for manuscripts, presentations, and courses.

  • Search for articles related to research, paper, and grant proposals in preparation.

  • Coordinate faculty recruitment.

  • Facilitate distribution of reference letters for faculty.

  • Learn new computer programs to assist in projects.

  • Other tasks as required.

Instructional Support

  • Faculty Blackboard support, including uploading syllabi, scanning and uploading other course materials.

  • Prepare, arrange, and copy exams for courses.

  • Compose correspondence to publishers and other faculty for course related materials needed.

Annual Tasks

  • Schedule department picnic; securing date, time, and location.

  • Commencement tasks; coordinating Professors regalia and working commencement day.


Education: 2 years of post high school education in secretarial studies or the equivalent.

Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.

Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.

OR a combination of formal training and experience equivalent to the above

Preferred Qualifications

Advanced skills in Microsoft Word, Excel, and PowerPoint required. Familiarity with web editing is preferred. Organizational skills and the ability to work under pressure required. Must have excellent communication skills. The ability to work well independently and with a team is essential.
