Clinical Provider Support Specialist

GENERAL PURPOSE:

The position serves the Cardiology patient and referring physicians for our Monroe County Cardiology Practices. Duties include answering medical records phone line, checking voicemail, distributing incoming faxes to appropriate designees such as nurses, providers, and front office staff. Monitoring of medical records Epic in-basket, completing providers request for forms/medical records, opening and sorting mail. The candidate must present an image that deserves respect and obtains required cooperation from providers, patients and referring physicians. The candidate must possess excellent communication skills and exercise independent judgment. The position requires attention to detail, the ability to prioritize tasks, to type accurately, and be comfortable working closely with providers. Patient privacy policies must be followed in the conduct of all job responsibilities. Strong collaboration with Central HIM to ensure items go directly to Central HIM and local items handled at practices.

RESPONSIBILITIES:

  • Checks fax machine multiple times a day. Sort and distributes faxes to providers, nurses, front end staff, fax to other offices, and the hospital.

  • Deliver forms and empty the doctors out bins in the AM and PM (after courier/mail arrives). Put outgoing mail & bins for other locations together for the courier to pick up.

  • Answer medical records line and check voicemail few times a day.

  • Address messages in HIM pool (patient calls, patient advice requests, staff messages, CC’d charts, referral messages). Range from faxing cardiac clearances, records requests, etc.

  • Review/Edit letters sent by doctors in the letter que.

  • Answer calls from co-workers as available with questions/concerns.

  • Request Records/Release Records; Request patient information for upcoming appointments. Request records from various offices, hospitals, etc. at provider’s request. Release patient records to offices/patients according to policies and signed release of information.

  • Forms; Cardiac clearances, DOT forms,

  • Disability/FMLA/PFL, Handicap permits. Scanning of documents; patient information for new appointments, anything urgent that is brought to HIM.

Other clinic service tasks as assigned

QUALIFICATIONS:

  • High school diploma required

  • 1 year related work experience in an administrative office or customer service field; or an equivalent combination of education and experience required

  • Medical terminology experience preferred

  • Must be willing to work in our Irondequoit, Brighton and Penfield offices peferred.

  • Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates the ICARE values to patient, families and staff. Ability to act as a resource to less experienced staff preferred.

  • Medical terminology knowledge and experience with Flowcast, EPIC or other EMR desired.

Pay Range

Pay Range: $ 18.50 - $ 24.05 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
