Schedule

8 AM-4:30 PM

Responsibilities

General Purpose:

  • Intake Phone Screening: 55%

  • Tracks and organizes all phone and internal requests for services on excel spreadsheets and/or eRecord

  • Conducts intake phone screens with potential patients/families

  • Creates and monitors the phone screen schedule

  • Provides service director with service requests

  • Mobilizes supports when needed, including clinical and community supports

  • Implements dispositions identified by clinical team (e.g., organizes and monitors logs/patient lists for scheduling; and organizes and monitors patient letter log/list)

Patient Intake and Service Coordination: 30%

  • Schedules new patient visits as needed

  • Attends weekly supervision and Intake Team meetings

  • Works collaboratively with, and covers for other Intake Team members when they are not available

  • Handles patient complaints and inquiries regarding intake issues, including correspondence; assures that patients are given prompt, courteous attention by telephone or by letter

  • Serves as a focal point for answering questions and solving problems regarding intake issues for difficult or unusual circumstances, assists in problem identification and resolution

  • Prepares monthly reports for the director

Liaison Responsibilities: 10%

  • Interfaces with clinical teams associated with research projects being conducted at the service.

  • Interfaces with Crisis Intervention Service Team on patients needing access to crisis services

  • Coordinates with Financial Counselors regarding fees and insurance issues

  • Establishes and regularly maintains cooperative working relationships with community and health care agencies and professional and administrative staff of the Medical Center and University.

  • Handles inquiries from other UR Medicine clinical services (e.g. Inpatient psychiatry, pediatric partial hospitalization in psychiatry, and pediatric clinics) as well as community providers (e.g. PCPs, school district staff) when the Clinical Intake Coordinator is unavailable.

Additional Professional Responsibilities: 5%

  • Continuous performance improvement through reading, attending in-services, and workshops

  • Documents in eRecord

  • Participates in Departmental and programmatic diversity presentations and meets annual training expectations on diversity

  • Contributes to the vision and mission of the Child & Adolescent Psychiatry Division

  • Maintains a thorough knowledge of Department of Psychiatry, UR Medicine: Pediatric Behavioral Health & Wellness policies and procedures.

Requirements:

  • Excellent organizational skills

  • Excellent oral and written communication skills

  • Excellent internal and external customer service skills (e.g., with families, physicians, mental health clinicians, trainees)

  • Proficient computer experience (with programs such as excel)

  • Supervisory experience

  • Bachelor’s degree and related work experience
