Under the general direction of the Sr. Education Administrator and the Clinical Site and Preceptor (CSP) Administrator, with latitude for independent judgement and decision making, this position supports Clinical and Experiential Learning in the Masters’ Programs office. Provides administrative support to Specialty Directors and coordinates site placements for students in Leadership programs and experiential learning for students in Nurse Practitioner programs. This position requires a person with sound judgement, professionalism and attention to detail, outstanding communication skills, and the ability to maintain confidentiality and compliance with FERPA regulations while handling faculty and student information and records.


  • Clinical & Experiential Learning Support

  • In collaboration with individual faculty, Program and Specialty Directors, coordinates student placement process, preceptor and agency communication, and accreditation documentation for students in SON Nursing Education, Clinical Nurse Leader and Healthcare Management programs. Specific responsibilities include:

  • Initial placement confirmation and post course feedback communication with individual student preceptors and affiliate agencies.

  • Responsible for working with affiliate agencies to ensure student compliance. Works in collaboration with the Student Affairs Compliance Coordinator to ensure compliance documentation is on file and provided to the affiliate agencies as required. Works with the CSP Administrator on Affiliation Agreements with external agencies, if required for student placements.

  • Maintains accreditation documentation and reports related to student placements. Maintains data base, and prepares reports of students’ clinical and student teaching hours for internal and external course and degree completion requirements.

  • Assists the Masters’ Program AAs with operational support for annual Preceptor Recognition event

  • Support the CSP Administrator and the Graduate Clinical Education Coordinator. Specific responsibilities include:

  • Schedule Clinical Site/Preceptor outreach appointments and reminders for maintenance.

  • Maintain site records and other documents, as needed.

  • Assist the Graduate Clinical Education Coordinator in building and sustaining collaborative community relationships including: drafting and sending emails, scheduling meetings, grant upkeep.

  • Provide backup and cross coverage for the CSP Administrator, as needed, to support clinical experiences across all the Masters’ Programs.

  • Coordinate and support Experiential Learning initiatives. Specific responsibilities include:

  • In collaboration with the Director of Simulation, the SON Clinical & Educational Resource Center (CERC) Administrator and the Center for Experiential Learning responsible for developing the schedules of Objective Structured Clinical Examinations (OSCEs) and On-Campus Intensives for NP students.

  • Responsible for coordinating all event logistics and adhering to approved budgets: reserves and coordinates event space and catering; assembles & disseminates student support materials, faculty materials and schedules for OSCE’s and On-Campus Intensives.

  • Available for onsite support and troubleshooting during OSCE and On-Campus Intensives events.

  • Backup support for CERC simulation labs.

  • Primary administrative support for the Simulation Committee and the Simulation Team. Independently facilitates meeting arrangements including room scheduling, agendas and guest speakers. Attends all meetings and records all essential points of meeting discussions, decisions, and action items. Maintains confidentiality of all items discussed in meetings. Provides committee/team chair with meeting minutes for review and approval within 1 week of each meeting. Distributes meeting minutes based on committee protocol.

  • Office/Faculty Support:

  • In collaboration with the Masters’ Programs Administrative Assistants assist with office operations.

  • Independently identifies, prioritizes, and manages the successful delivery of support needs for specialty faculty directors. May include: editing and proofreading, as well as formatting documents; composing routine and non-routine letters, memos, and email messages; coordinating travel arrangements and preparing expense reports; assisting with logistics for education related gatherings.

  • Responsible for timely and effective communications and notifications to assigned program faculty; prioritize incoming issues and determine appropriate courses of action, referral, or response.

  • Independently manages calendars using judgement and program knowledge to manage priorities and triage requests.

  • Provides cross coverage for Blackboard course support within the Masters’ Programs.

  • Committee support, as assigned. Schedule meetings, distribute agendas, record and distribute meeting minutes.

  • Other duties as assigned


2 years of post-high school education in secretarial studies or the equivalent and at least 3 years of secretarial or administrative experience with at least 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation, or a combination of equivalent education and experience.Essential skills include accurate spelling and grammar skills, the ability to provide clear, succinct, and relevant materials in preferred and varied formats, ability to work on own initiative, well organized and strong attention to detail.


Advanced Word and Excel skills strongly preferred.
