Responsibilities

Position Summary:

With general direction and significant latitude for independent judgement and action:

  • Provides administrative and academic support for the Chair of the Department of Periodontics / Associate Director for Education and Periodontics faculty for the Eastman Institute for Oral Health. This position also includes the Periodontics Residency Program Coordinator role. Responsible for considerable departmental and Institute administrative details and duties requiring extensive experience with policies, procedures and practices. This position has frequent contacts with Directors, Chairs, faculty and other administrative staff.

Supervision and Direction Received:

This position reports to and provides support directly to the Chair of the Department of Periodontics /Associate Director for the Eastman Institute for Oral Health.

Typical Duties & Responsibilities:

  • (20%) Provides administrative and academic assistance to the Chair of the Department of Periodontics/Associate Director for Education of the Eastman Institute for Oral Health and Department faculty. Assists Chair in his role as course director. Manages the administrative calendar for the Chair/Associate Director.

  • (30%) As Residency Program Coordinator: organizes residency recruitment and orientation, creates and maintains numerous academic and clinical schedules for residents, coordinates seminar schedules with other departments, prepares for and participates in semi-annual resident evaluation process, maintains academic records and coordinates graduation activities. Works closely with the Institute's Registrar's Office to ensure updated academic in formation. Maintains resident information in MedHub.

  • (25%) Serves as the key individual working with the Associate Director for Education for CODA (Commission on Dental Accreditation) related issues for the Institute, including preparing for and facilitating site visits for all educational programs at the Institute. Also serves as the individual facilitating EIOH Curriculum Committee meetings.

  • (25%) Assists EIOH Master's students with program questions, organizing committee meetings and booking meeting rooms. Tracks compliance of faculty, staff and resident training. Monitors approved budgets and processes payment requests for non-University core course instructors for all EIOH core courses. Assembles information for and assists in preparation of reports, presentations and surveys. Maintains confidential account, faculty and resident documentation. Assists faculty with process of faculty and medical staff appointments. Works closely with the Director's Office, Registrar's Office and other administrative offices on a regular basis. Coordinates meetings, conferences and social events.

Education and Experience :

College degree in business administration or related field and minimum of 3-5 years of University administrative office experience or combination of education and experience. Experience in residency program coordination preferred. This position requires advanced organizational, administrative and secretarial skills, as well as familiarity with University policies and procedures.
