Responsibilities

Job Summary

The Associate Director for Space Planning is responsible for the oversight and direction of all major space planning initiatives and activities for the UR Medicine’s missions. These responsibilities include space allocation and facilities utilization including identification of issues and organization of processes to ensure appropriate input to institutional goals and objectives . Areas of oversight include UR Medicine’s on and off-campus space facilities. The Associate Director interprets operational level reports, analyzes data, and presents improvement opportunities to the AVP/Sr. Director of Space Planning. The Associate Director is required to have advanced knowledge and understanding of Real Estate Services, including all aspects office operations, principles of staff management/supervision, office workflows, and process improvement.

Key Functions and Expected Performances

With general direction of the AVP/Sr. Director of Space Planning and Real Estate Services and considerable latitude for initiative and judgment:

25% Responsible for the oversight of coordination and execution of projects within the parameters of the Medical Center’s strategic and master facilities plans. Manages space allocations and utilization of facilities owned or leased by the Medical Center . Responsible for the implementation of major multidisciplinary planning projects for the Medical Center . Serves as liaison to external agencies and community associations.

20% Monitors and assesses current operations to identify opportunities for performance and process improvements and provides a high level of problem solving to support continual change management; recommends ideas to AVP/Sr. Director of Space Planning and Real Estate Services; implements approved changes and ensures that staff receive the training to ensure their understanding of quality/performance improvement initiatives.

20% Interacts with Medical Center and University leadership on strategic planning issues. Develops and analyzes alternatives with regard to resource requirements. Recommends strategic and tactical approaches to decision-making. Coordinates the development of an assessment mechanism for measuring the efficiency of space utilization and recommends improvements in utilization of academic, research and patient care programs. Coordinates research on need for emerging projects.

20% Evaluates requests from divisions, departments or as directed by the Director of Space Planning for renovation, relocation, expansion or improved use of existing space. Prepares and contributes to program documentation. Prepares reports, recommendations, planning programs or layout schematics for approval by client/user requesting service and the Director. Represents the Medical Center in matters pertaining to space use, acquisition, and disposition. Advises the Medical Center Executive Committee on space and physical resource issues. Identifies and maintains institutional swing space to effectively manage displacement of programs during renovation or preparation of new space.

10% Acts as liaison between client/user and the architects, contractors and Planning and Project Management or Real Estate Project Managers. Coordinates the preparation of projections of Responsible for ongoing evaluation of a comprehensive integrated planning process. Assumes responsibility for specific tasks including the collection and analyzing of data, preparing narrative information and recording proceedings of meetings. Acts as liaison on projects to guarantee adherence to original planning or acceptable alternatives. Medical Center building needs based upon analyses of the departments growth patterns and plans.

5% Cultivates and maintains professional relationships with primary customers within area of responsibility including department chairs, medical directors, department leadership, supply vendors and external entities to foster opportunities for enhanced customer service and to positively impact institutional collaboration.

May perform other duties as assigned.

Qualifications:

Required:

  • Bachelors Degree and 5 years of space planning and/or project management experience of which 2-5 years were at the management level; or equivalent combination of education and/or experience.

  • Demonstrates organizational and problem-solving skills

  • Effective written and verbal communication skills

    Preferred:

  • Strong working knowledge of space planning software applications
