Responsibilities

GENERAL PURPOSE:

This position serves as the assistant to the Education Innovation Team (EdIT) Coordinator at the School of Nursing (SON) and supports the group by performing a wide variety of administrative tasks requiring initiative, independent judgment, and exceptional interpersonal and communication skills. Working in a constantly changing, fast-paced environment, the assistant is focused on quality and execution and possesses both reliability and consistency. As a trusted partner assisting the Education Innovation Team with prioritization of daily commitments and optimizing effectiveness, the assistant must be able to maintain confidentiality and exercise discretion in handling sensitive matters.

This position requires a person with sound judgement, attention to detail, problem solving, prioritization of immediate and long-term tasks, preparation of routine and non-routine correspondence, frequent interaction with students, faculty, staff, academic, and medical center leaders. RESPONSIBILITIES:

Administrative Support for EdIT team

  • Make arrangements for administrative meetings; reserve meeting rooms and any necessary equipment, coordinate meeting logistics, prepare and distribute agenda and all meeting materials, etc. Serve as a recording secretary for various meetings and take notes for future transcription and dissemination of the minutes. (20%)

  • Manage multiple high-priority activities for all members (faculty and staff) within EdIT. (10%)

  • Responsible for the review and maintenance of the day-to-day clerical operations for the team including document preparation, managing calendars, making travel arrangements, ordering supplies, photocopying and maintaining electronic and paper files. (10%)

Clinical and Experiential Learning Support

  • Triage requests for faculty development and student support needs; assist in preparation for departmental courses, seminars, faculty development workshops and in­ services.

  • Responsible for data collection and related reporting to measure resource utilization and outcomes.

  • Complete course opening checklist for all courses in the learning management system- allowing team to more proactively address accessibility issues and Quality Matters standards.

  • Assist with scheduling services related to student accommodations approved by ADA coordinator.

  • Assist with development meetings and managing workgroups; manage task lists, action items and communications in preparation for transition to new experiential learning space.

  • Once in the new space will coordinate EdIT member’s schedules across the 30 experiential learning rooms, clinical labs, and classrooms.

  • Work collaboratively with staff of the Clinical and Experiential Resource Center (CERC) related to the experiential learning space and daily schedules.

Student and Faculty Orientation

  • Maintain Orientation courses in the learning management system.

  • Facilitate and schedule support for iPad student orientations each semester (APNN and RNBS).

  • Facilitate and schedule faculty orientations.

  • Available for onsite support during all student and faculty orientation sessions.

Technical Oversight

  • Create and maintain iBooks (based on Microsoft documents currently being used).

  • Hold and manage administrative accounts for digital technologies, such as Kahoot.

  • Maintain and update information/point of contact for various digital programs (Examsoft, CoursePoint, etc.).

Professional Development Activities

  • Actively participate in ad hoc teams and initiatives as needed; Serve on appropriate SON committees as needed/interested.

  • Seek out learning opportunities to increase expertise in software and hardware technologies, as well as a wide range of systems, applications, and customized needs in support of education initiatives.

  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, participating in professional societies.

Other Duties

  • Work with other program assistants, CERC staff and other SON offices, as needed, for special projects, as assigned. Communicate with the Sr. Education Administrator to ensure consistency and continuity across all aspects of the education mission.

QUALIFICATIONS:

  • 2 years of post-high school education in secretarial studies or the equivalent required

  • At least 3 years of secretarial or administrative experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation required;

  • or a combination of formal training and experience equivalent to the above required

Preferred:

  • Essential skills include excellent communication skills, both written and verbal, the ability to provide clear, succinct, and relevant materials in preferred and varied formats, ability to work on own initiative, well organized and strong attention to detail.

  • Technical skills: Intermediate abilities in Microsoft Office including: Microsoft Word, Microsoft Outlook, PowerPoint, and Excel.

  • Experience using Adobe/PDF, Survey Monkey, Zoom, Blackboard, Box etc. Apple/iOS device knowledge a plus.
