The Assistant Director of Alumni Relations reports to the Senior Director of Alumni Relations for URMC Academic Programs and interacts closely with alumni, students, donors, volunteers, and UR colleagues. The position designs, manages, and implements a variety of programs and events for the purpose of enhancing and building lifelong relationships with the School of Medicine and Dentistry (SMD), School of Nursing (SON) and Eastman Institute for Oral Health (EIOH).
Under the general guidance of the Senior Director of Alumni Relations, but with independent judgment, the Assistant Director will have responsibility for:
40% Event Planning and Implementation
All Alumni Events (20%)
Supports Senior Director in measuring and implementing Go Give Help Connect goals and metrics through event strategy
Develops, manages, and coordinates a variety of strategic alumni relations and advancement activities for SMD/SON/EIOH advancement programs, including program development, preparation of speaking points, gift officer engagement, event evaluation, and stewardship post event
In collaboration with URMC Academic Programs team and other UR Advancement colleagues (Annual Fund, Reunion Giving, UR Alumni Relations, Special Events, Communications, etc.), supports development and implementation of URMC Academic Programs signature events including: SMD Medical Reunion, SON Reunion, Dean’s Circle Dinner and Dean’s Diamond Circle. As needed, support planning and implementation of other special strategic events such as EIOH Reunion, MD PhD Reunion, Residency programs, and others at the request of the Deans of the three URMC Academic Programs.
Student and Young Alumni Focus (20%)
Manages strategy to grow student and young alumni annual giving through strategic events
Manages and implements plan for SMD/SON/EIOH student engagement and young alumni engagement events including but not limited to:
White Coat Ceremony
I Heart Rochester/Forever Rochester
SMD/SON/EIOH degree award and convocation activities
National Nurses Week
SMD/SON/EIOH winter and spring student engagement events
40% Volunteer Engagement
Supports Senior Director in measuring and implementing Go Give Help Connect goals and metrics through volunteer engagement strategy including Meliora Collective activity and group management
Manages SMD Student Ambassadors program. Recruits, on boards and develops engagement activity opportunities.
Helps create and manage SMD/SON/EIOH volunteer opportunities with special emphasis on student and young alumni engagement
Manages SMD/SON/EIOH reunion class agents and reunion volunteers as lead support for 5, 10, 15, 20 and 25 year cohorts. This includes building committees and hosting meetings. Recruit volunteer class agents for new graduating classes.
Acts as Alumni Relations liaison to SMD/SON/EIOH student leadership groups to support current and future volunteer engagement
Serve as the Bridge Committee liaison to the SMD Alumni Council
Works closely with the URMC Constituent Engagement team, represent the URMC Academic Programs in the University Wide Volunteer Management Workgroup by attending bi-monthly meetings, facilitate and attend the annual University of Rochester Volunteer Workgroup Summit, collaborate in creation of volunteer job descriptions, and identify strategic opportunities to engage alumni from EIOH, SMD, and SON
10% Meliora Weekend
Manages and implement several Meliora Weekend events, as assigned. Events may include, but are not limited to:
Student and young alumni programming, reunion dinners, campus-wide events, VIP events. Additional events may be included based on magnitude of the specific event and availability.
Additional logistical support as assigned
10% Other Duties
