POSITION SUMMARY:

With minimal direction and considerable latitude for independent judgment, provides specialized administrative support by performing routine and non-routine duties requiring highly advanced secretarial, organizational, and communication skills and proficiency. Responsible for considerable departmental administrative details and duties requiring extensive experience with University and departmental policies, procedures, and practices, and the ability to problem solve independently. Has frequent contact with vendors, Supervisors, Managers, and staff both within the laboratory and with other sections/departments.

SUPERVISION AND DIRECTION RECEIVED:

Under direct supervision of the Central Laboratory Chem- Heme Chief Supervisor and the Ast Director for the Central Laboratory

SUPERVISION AND DIRECTION EXCERCISED:

None

MACHINES AND EQUIPMENT USED:

Standard office equipment such as multi-feature ACD telephone, PC, copier, printer, fax machine, and the like. Software systems such as Laboratory Information System (LIS), Hospital Information System (HIS), and various customer services software applications.

JOB RESPONSIBILITIES :

  1. Performs routine purchasing and inventory activities for multiple laboratories and functional areas with varying needs. Responsibilities include management of purchase orders, submitting routine orders to vendors, receiving deliveries/ reconciling with orders, and maintaining the inventory of office supplies. Independently resolves issues by communicating with the vendor, departmental or University purchasing staff, Accounts Receivable department, etc. (25%)

  2. Provides general administrative support. Responsibilities include the maintenance of regulatory and other record keeping binders/files, document management and archiving, and coordination of services with vendors (Fed Ex, cleaning services, etc). (25%)

  3. Manages facility requests and communications. Responsibilities include placement of work orders/access requests with building management, ISD or telecommunications. Acts as the liaison to the real estate management company and service vendors for daily facility issues. Coordinates maintenance of office equipment as needed. (20%)

  4. Performs routine clerical duties such as meeting requests/calendar coordination, conference room coordination, travel arrangements, expense reports, preparation of correspondence, mail distribution, faxing, filing, and delivery of general communication as requested. (15%)

  5. Performs other responsibilities and projects as assigned. (15%)

QUALIFICATIONS :

Two years of post high school education or the equivalent, including a demonstrated ability to work independently with advanced organizational and PC skills, or an equivalent combination of education and experience.

Pay Range

Pay Range: $18.10 - $25.35 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
