Responsibilities

Using independent judgment and initiative, performs routine and non-routine clerical duties in support of on-site, offsite and regional activities of a team of physicians and RNs. Requires working knowledge of privacy and other policies and procedures in daily contact with confidential information and materials. Employee will report to the Unit's Administrator. Excellent organizational and communication skills required. Duties will include coordination of patient care, teaching and research activities.

Administrative Duties:

Act as liaison for contacts to local and regional physicians to facilitate securing of new referrals. Manage calendars, scheduling time commitments and coordinating with patient schedules. Compose routine and non-routine correspondence, and materials for educational and professional activities as needed. Record and distribute meeting minutes. Transcribe general correspondence, article and case reviews, protocols, abstracts and manuscripts. Create slides, presentations and course outlines. Maintain faculty Curriculum Vitae, updating as necessary. Maintain and process credentialing information for providers. Create and manage files for organization of non-patient information and documentation.

Secure airline and lodging reservations and coordinate travel details. Prepare and obtain approval of Division financial cost estimate forms for planned work-related travel. Complete, process and track University financial reimbursement forms.

Patient Care Support Duties:

Phones: Assess and triage incoming calls. Gather pertinent medical information on patient calls. Evaluate urgency of response and communicate messages in a timely fashion. Communicate medical information to patients, and messages to other callers, as directed by physicians, nurses and PAs.

Scheduling/File Maintenance: Oversee scheduling of patients for out-patient visits and ancillary tests. Responsible for ensuring test results are received, reviewed and appropriately filed. Verify HMO referrals as appropriate. For patient activities in offsite offices, close interaction with the clerical and nursing support staff at these location is required, to insure appropriate patient management and avoid duplication of activities. My provides on-going training to regional support staff.

General Office Responsibilities: Receive and direct visitors, company representatives, and patients. Copy and distribute correspondence and other documents. Collect, sort and distribute mail. Maintain excellent communications with secretaries to insure efficient cross-coverage in 3 person clerical group, multiple physicians, APP and RN’s. Other responsibilities and special projects as assigned.

*Qualifications: *

A.A.S. in Secretarial Science with three years related experience, or equivalent combination of education and experience. Medical terminology required. Medical office experience and familiarity with University policy/procedures preferred.
