University of Rochester Outpatient Access Specialist in Rochester, New York
Full Time 40 hours Grade 007 Otolaryngology Clinic
With general direction and latitude for initiative and judgment, performs routine and non-routine duties requiring advanced secretarial or word processing skills and proficiency in a medical office. Completes one or more tasks of reception, registration, charge capture/charge entry, appointment scheduling, eRecord task management, In Basket management, work queue management and Telephone encounter management. Responsible for accurate and timely input of data into Flowcast. Assures patient satisfaction with information processing and reception service. Requires accuracy in order to generate a billable service for the provider.
Performs job duties of the front end secretary (individual bullet percentages will vary based on assignment):
- Phones – responsibilities include providing excellent customer service, effectively and efficiently answering phone calls, be proficient with Flowcast and able to perform a full patient registration, understand patient insurance plans and be able to correctly enter the insurance information, be proficient with eRecord routing all appropriate messages to nurses or other applicable staff
- Check In – responsibilities include providing excellent customer service, accurately conveying to the patient the forms that need to be signed and/or filled out, be proficient with Flowcast and able to update the patient’s demographic information as appropriate, run reports to complete daily tasks and operations, understand patient insurance plans and be able to correctly enter the information into Flowcast
- Check Out – responsibilities include providing excellent customer service, being familiar with patient insurances and be able to collect co pays, handle patient receipts (cash, checks and charges) and be responsible for all payments received, be proficient with Flowcast and able to schedule all necessary follow up appointments, run applicable reports to complete daily tasks and operations
- Insurances – is able to utilize insurance specific websites to gain appropriate patient insurance information and enter or update that information in Flowcast
Performs secretarial duties including the sorting and routing of mail and/or faxes. Serves as receptionist, greeting and receiving visitors in a professional manner, giving appropriate direction and guidance, maintains files and office supplies, contact referring providers, primary care offices and/or other hospital departments to obtain patient information for upcoming appointments, ability to schedule outside office testing or referrals.

2 years of post high school education: secretarial or word processing studies, or the equivalent. At least 2 years of secretarial, word processing and practical office experience, preferably in a medical office environment, with demonstrated ability to work with limited direction. Knowledge of medical terminology and working in a group office setting is highly desirable. Advanced secretarial or word processing skills. The ability to operate standard office machines and word processing equipment.
